The situation

A property team shares an inbox for enquiries, tenant requests, and vendor messages. Staff need to read each message, find the relevant property, and decide who should respond. Useful opportunities can wait while the team sorts routine correspondence.

A possible first pilot

Begin with one inbox and a defined set of message categories. The pilot would identify the property or customer, suggest an owner using approved assignment rules, and prepare a routing recommendation for staff to review.

Draft replies could follow once classification is reliable. Urgent requests need explicit escalation rules and a human fallback; the first pilot would not send replies or dispatch vendors on its own.

What to measure

Use a labelled sample of historical messages to compare routing accuracy and reviewer effort with the current process. During a scoped trial, track first-response time, missed urgent items, and corrections.

For sales enquiries, also track whether suitable enquiries receive a timely follow-up. Booked meetings or completed transactions may take longer to observe and should be reported separately from the routing result.

The expansion decision

An inbox assistant is useful if staff trust its suggestions and spend less time correcting them than they save. Additional inboxes, CRM writes, and automatic actions would each need their own acceptance checks and scope.
