The situation

A brokerage receives policy documents in different formats. Staff copy fields, check carrier requirements, and contact customers about missing information. A growing queue makes it harder to serve new enquiries promptly.

A possible first pilot

Choose one submission type and a small set of approved document formats. The pilot would extract the required fields, validate them against written rules, and prepare a review screen. Staff would check uncertain fields and approve the export before it reaches the next system.

Start with a sample of historical submissions, including incomplete and unusual examples. Agree how customer documents may be accessed and retained before processing them.

What to measure

Compare preparation and review time per submission against the existing process. Track field accuracy, missed information, and the proportion of cases that need manual correction. More submissions handled is useful only if the quality check holds up.

Faster preparation may let the team serve more customers. Whether it produces revenue depends on demand and what the team does with the released capacity; a pilot should not count saved time as cash savings automatically.

What stays outside the first scope

Carrier-wide integration, autonomous submission, and ongoing support would need separate agreement. The first decision is whether one checked workflow is useful enough to expand.
